Our well-established practice is looking for a qualified office manager. The manager is responsible for day-to-day operations. Must have excellent organizational and interpersonal skills and the ability to perform well in stressful situations. This position requires knowledge of financial, human resources, healthcare system operations and medical coding and billing. The main purpose of this position is to ensure steady workflow and uninterrupted service in our offices. ACO experience is preferred. Open to Part Time or Full Time.
Practice Manager Responsibilities Financial Management
Budgeting: Manage office operations to stay within monthly budget and meet monthly revenue goals. Manage the practice’s financials, including payroll, operational costs, and creating annual budgets.
Revenue Cycle Management: Supervise the entire revenue cycle from patient intake through final payment.
Staff Management and Development
Staffing Management: Manage daily staffing to ensure optimal operation of the practice
Hiring and Training: Oversee the recruitment, hiring, and onboarding process for all office staff, including medical assistants, receptionists, and other support staff.
Staff Scheduling: Create and manage work schedules for the office staff, ensuring adequate coverage for patient care.
Staff Development: Ensure ongoing training and professional development for staff, including compliance with certifications and continuing education.
Performance Management: Conduct regular staff meetings and performance evaluations. Provide feedback for staff improvement and growth.
Patient Communication: Oversee communication with patients regarding appointments, follow-ups, lab results, and patient inquiries.
Medical Records Management: Supervise the proper handling, updating, and storing of patient medical records in compliance with HIPAA regulations.
Insurance Verification: Coordinate insurance verification for patients, ensuring that billing and reimbursements are processed accurately and timely.
Compliance and Regulatory Oversight
Health and Safety Standards: Ensure that all health and safety protocols are followed, including sterilization, infection control, and OSHA regulations.
HIPAA Compliance: Maintain strict adherence to patient confidentiality laws, HIPAA, and ensure that staff are properly trained in these policies.
Credentialing: Oversee credentialing for physicians and healthcare providers, ensuring their licensure and certifications are current.
Audit and Reporting: Perform regular audits of clinical and financial activities, ensuring accuracy and compliance with laws and regulations.
Technology and Systems Management
Electronic Health Records (EHR): Oversee the effective use of EHR systems, ensuring proper documentation and coordination of care across healthcare providers.
Data Security: Implement measures to safeguard patient and business data from cyber threats or unauthorized access.
Patient Care Coordination
Quality Assurance: Develop and maintain patient care protocols, ensuring high-quality care is delivered by the healthcare team.
Patient Satisfaction: Monitor patient satisfaction and resolve any complaints or issues promptly, ensuring positive patient outcomes.
Coordination with Providers: Facilitate smooth communication and collaboration between physicians, nurses, and other healthcare providers to ensure comprehensive care.

Education and Experience:
Education: Bachelor’s degree in healthcare administration, business management, or related field.
Experience: Minimum of 3-5 years of experience in healthcare management or a similar field. Experience in family medicine is a plus.
Certifications: Relevant certifications, such as Certified Medical Practice Executive (CMPE) or Certified Medical Office Manager (CMOM), may be required or preferred.
