Position: Office Manager Location: Internal Medicine Associates Our well-established and growing Internal Medicine practice is looking for a qualified office manager. The manager is responsible for day-to-day operations. Must have excellent organizational and interpersonal skills and the ability to perform well in stressful situations. This position requires knowledge of Financial, Human Resources, healthcare system operations and medical coding and billing. The main purpose of this position is to ensure steady workflow and uninterrupted service in our offices. ACO experience is preferred. Responsibilities: All HR Support Support and oversee admin staff with patient needs Supervise and oversee the overall staff performance Post job advertisements and interview candidates Screen and interview candidates for job openings Provide training and educational material for staff Payroll Management – must be familiar with Intuit Quickbooks Maintain check register, and pay office bills Process, pay and file all payroll taxes – weekly/quarterly Ensure legal obligations are always met Coordinate admin and provider schedules as needed Open and distribute mail Answer the phone for billing and insurance questions Check and answer office emails Manage patient billing, bad debt accounts and collection accounts Greet patients who enter the facility with warmth Assist pharmaceutical reps with scheduling lunch if Receptionist is absent Do all credentialling for Providers (CAQH) Maintain schedule templates for providers for the upcoming year. Keep track of license, DEA and CDS renewals for each provider Run, prepare and distribute all Monthly reports to providers Maintain office inventory lists and order office supplies and medical supplies when needed Maintain and process all requests for Medical Records Other duties as necessary to help the team and keep the office running smoothly Provide coverage for Clerical Staff members when they are out of the office Qualifications for Office Manager: Human Resources Background Proven work experience in a managerial position in a clinical/ medical setting Knowledge of Payroll, Taxes, W2’s, etc. Strong understanding of healthcare administration and management Strong knowledge of accounting and administrative processes Knowledge of medical issues and terminology Strong leadership and organizational skills Familiar with medical billing and coding specifically ICD-10 CM and CPT Ability to handle medical records discreetly and comply with HIPAA guidelines Ability to multi-task and perform well in stressful situations Excellent organizational and time-management skills Familiar with administrative software for healthcare systems (EMR – Athena) Excellent verbal and written communication skills and customer service Able to travel to meetings and to attend conferences as necessary Starting base pay 50k (based on experience), plus annual bonus Benefits- Vacation, Personal, Sick time, 401k
